# Dashboards

> Track submittals, RFIs and design review issues on live dashboards, click any number to open the records behind it, and have the agent build your own.

**Dashboards** are live pages of tiles, charts and tables over your project or organization data. They run their queries when you open them, as you, so each person sees only the records they can already open.

Open **Dashboards** in a project's sidebar for that project's dashboards, or in the organization sidebar for dashboards across projects.

## Dashboards to start from

Every Dashboards section starts with dashboards built from what project teams track every week:

- **Project status**: overdue submittals and RFIs, submittals approved in the last 7 days, open issues, and who holds the overdue items.
- **Submittal tracker**: open, overdue, in review and revise-and-resubmit submittals, ball in court, submittals closed per week, open submittals by spec division, and submittals at risk of holding up the work (the required-on-site date less the lead time).
- **RFI tracker**: open and overdue RFIs, average days open, RFIs with a cost or schedule impact, RFIs opened per week, open RFIs by manager and by days open.
- **Design review issues**: open issues by severity and discipline, reviewer feedback, and high-severity issues still in draft.
- **Portfolio overview** (organization Dashboards): open and overdue RFIs, submittals and issues for each project, most overdue first.

They are ordinary dashboards. Managers and Admins can change, reorder or delete them, and a deleted one doesn't come back. See [Members & roles](https://docs.specset.com/docs/team-roles).

## Read a dashboard

1. Click a dashboard to open it. **Updated** shows when its data was read; click the refresh button to read it again.
2. If the dashboard has filters, such as a date range or, on an organization dashboard, the projects to include, they sit above the page. Changing one redraws the page.
3. Hover a chart for its values. Click a record's number or title in a table to open it over the dashboard, or hold Cmd (Ctrl on Windows) to open it in a new tab.

## Open the records behind a number

Tiles, bars and tables open the list of the records they count, with the matching filters applied:

1. Click a tile, such as **Overdue RFIs**, to open the RFIs list showing only those RFIs.
2. Click a bar to open the records in it. A bar for a manager opens that manager's open RFIs; a week's bar opens the records created or closed that week.
3. A long table shows its first 10 rows. Click **Show more** under it to see more in place, or **View all** to open the whole list.

The list shows exactly the link's filters. Your saved filters are left as they were and apply again the next time you open the list from the sidebar. Open the list's filters to adjust from there.

## Build a dashboard with the agent

1. In **Dashboards**, click **New dashboard**.
2. Describe what you want to see, such as "submittals by ball in court, with what is overdue", or pick a starter such as **Submittal status**, and send the message.
3. The agent finds the data, writes the page, and checks that it draws in your browser before it saves. The new dashboard is a draft that only you and the section's Managers and Admins can see.
4. Ask for changes in the same chat. To change a dashboard later, open it and ask the agent in the chat panel; it knows which dashboard is on screen.

## Publish and share a dashboard

1. Open the dashboard and click **Dashboard settings**.
2. Set **Who can see it**: everyone on the project (or in the organization), or only the person who made it.
3. Turn on **Show in Dashboards** to list it, and choose how often to **Refresh data** while it is open.
4. Click **Publish draft**, on the dashboard or from its menu in the list.

After it is published, edits go to the draft and the published version stays as it is until the draft is published again. A banner on the dashboard says when the draft has newer changes. **Versions** in the settings lists every saved version; open one and click **Restore as the draft** to go back to it.

## Who can do what

- Anyone who can open a Dashboards section can view its listed dashboards, build new ones, and change the ones they made.
- Managers and Admins can change, publish, reorder (**Manage**), and delete any dashboard in the section.
