# RFIs

> Track project RFIs and responses, ask the agent for drafts grounded in project documents, and export selected RFIs to Excel or CSV.

Open **RFIs** in the project sidebar to search, sort, and filter the list. Filter by status, manager, spec section, drawing sheet, cost or schedule impact, or the dates RFIs were created, or turn on **Overdue** for open RFIs past their due date. Use **RFIs → Responses** to browse response documents.

1. Create an RFI, or ask the agent to draft one from a [design review issue](https://docs.specset.com/docs/issues).
2. Review the question and its supporting document references before sending it.
3. Record incoming responses on the RFI so the team can distinguish the official answer from a draft.
4. To share the list, select RFIs and choose **Export**, then **Excel (.xlsx)** or **CSV (.csv)**.

## Create a clear question

1. Click **New** in the RFI list. Give the RFI a **Subject** that names the location or system and the decision needed.
2. Write the **Question** and add supporting **Attachments**. Describe what the documents show, where they disagree or leave a gap, and what clarification you need.
3. Check the **RFI Number** and **Status** on the **General** tab. Use **Draft**, **Open**, or **Closed** to reflect where the RFI is in your team's process.
4. Open **Advanced** to assign an **RFI Manager**, set the **Due Date**, and record known **Cost Impact** and **Schedule Impact**.
5. On that tab, link the **Primary Spec Section**, **Other Spec Sections**, and **Related Drawings** so the reviewer can check the sources. Click **Create**.

For example: “P101 shows a 4-inch roof drain connection; detail 3/P501 shows 6 inches. Which size should be installed at RD-01?” This gives the reviewer a specific discrepancy to resolve.

## Record the answer

1. Open the RFI and click **Add Response** under **Responses**.
2. Enter the **Response** and attach the returned letter, sketch, or other supporting files. You can leave the response text blank for Specset to read it from the attachments; review the result after processing.
3. Save the response. When it is the accepted answer, open its menu and choose **Mark as Official**. The response gets an **Official Response** badge.
4. Check the RFI's status and update it when your team considers the question resolved. Marking a response as official and closing the RFI are separate actions.

Keep follow-up discussion with the RFI so someone arriving later can understand both the question and the accepted answer. If an answer is no longer authoritative, use **Unmark as Official** and identify the replacement.

## Bring in response documents

Use **RFIs → Responses → Upload** when you have incoming response files to process. After processing, check the extracted response information and its RFI association.

Turn on **Detect specs and drawings** if the response package includes revised source documents. Detected files become available to import into Specifications and Drawings. Review and publish them through [Spec Sets](https://docs.specset.com/docs/source-of-truth) or [Plan Sets](https://docs.specset.com/docs/plan-sets); the response upload alone does not establish their priority.

## Draft a question or response with the agent

Ask the agent to draft an RFI from an issue, or to help answer an incoming RFI using the project's drawings, specifications, and related records. Include the RFI number and the decision you need. For example: “Draft a response to RFI 12 using the current roof details and waterproofing requirements.”

Review the proposed wording and cited sources before sending it. Keep a working draft separate from the official answer; record the accepted response and its attachments on the RFI. Use **Mark as Official** in the response menu to identify the answer the team should follow.

The agent can use RFI information alongside the project's drawings and specifications. A recorded response does not redraw an original PDF. Publish and prioritize revised source documents through [Plan Sets](https://docs.specset.com/docs/plan-sets) or [Spec Sets](https://docs.specset.com/docs/source-of-truth) when those documents change.
